Import customers and products

How to import customers, contacts, products or leads from a CSV file.

Go to Settings → Import & export, or use the Bring in your data step during setup. Importing needs the import permission — owners, admins and sales managers have it by default.

The four steps

  1. Upload file — choose what you are importing (customers, contacts, products or leads) and upload a CSV file.
  2. Map columns — match each column in your file to a field in RABT. RABT suggests matches from your column names; required fields are marked.
  3. Preview — check the first few rows. Go back if a column is matched wrongly.
  4. Import — RABT shows how many rows were imported and lists any rows it skipped, with the reason.

Customer fields

Company name is required. You can also map:

  • Customer code — your own reference for this customer
  • Company name (Arabic)
  • Phone, WhatsApp, Email
  • City, Country, Address
  • VAT number, Payment terms
  • Currency — a code RABT supports, such as AED, SAR or USD
  • Customer type — company, individual or government
  • Customer language — ar or en (also accepts Arabic, English, العربية, الإنجليزية). This is the language the customer reads, and it sets the language of their quotation.
  • Tags — several in one cell, separated by a semicolon: vip;contractor
  • Notes

For customers, an unrecognised currency, type or language leaves that field at its default rather than failing the row. Product currency is stricter, below.

Credit limit, owner and anything RABT maintains itself are not imported. Any column RABT cannot place is listed as not imported before you confirm.

Use the same customer names as in your order records: your sales history is matched to customers by customer code first, then exact name. Importing your codes here is the most reliable way to make your sales history match.

Product fields

Name (English) is required. Also map SKU, name (Arabic), descriptions, category, unit, price, currency and active.

Currency must be a supported code. An unsupported one fails that row; RABT never converts. Omit it for your workspace currency. Active accepts true/false, yes/no, 1/0 or active/inactive.

Include the SKU — sales history matches products by SKU. Costs are never imported or exported; add them on each product for margin checks.

Contacts and leads

Contacts need a first name; leads need a name. Both can be imported the same way.

Custom fields

Custom fields are not included in CSV import or export.
